Understand media approval and visibility

Know who can see gallery media, when approval is required, and how consent affects sharing.

Gallery media is for barn photos and image media. It is separate from lesson video review.

Visibility depends on the uploader role, barn media settings, approval status, rider links, and consent records.

When in doubt, keep media private or staff-only until consent and approval are confirmed.

Common visibility states

  • Private or uploader-only media is not broadly visible to the barn.
  • Staff-only media is visible to users with the right staff permissions.
  • Barn-visible media can appear to the broader barn audience when settings and approval allow it.
  • Pending media may be hidden from other members until a staff member approves it.
  • Rider-linked media can be restricted by strict rider privacy and photo consent settings.

Staff review checklist

  • Check whether the image includes a minor rider.
  • Confirm photo consent before sharing beyond the intended audience.
  • Use a narrower visibility level if the image includes sensitive context.
  • Decline or keep pending any upload that should not be shared.
  • Remove or delete media if it was uploaded by mistake and your role allows deletion.

Troubleshooting

A photo is uploaded but other members cannot see it.

Check whether it is pending approval, set to private or staff-only, linked to a rider without consent, or restricted by strict rider privacy settings.

A rider or parent wants a photo removed.

Have staff review the media, consent record, and visibility. Delete or restrict the media if it should no longer be shared.
