Members and Roles
Add and assign riders without accounts
Create barn-managed rider profiles, use them throughout lessons and progress, and assign an account later when needed.
BarnPage uses rider profile as the shared roster record for lesson participants, including riders, vaulters, and drivers.
A participant does not need a BarnPage account before the barn can keep an accurate roster and lesson history.
Managed riders count toward the barn rider limit. Once the rider profile is active, it can be scheduled, assigned horses, marked for attendance, linked to lesson videos and reviews, tracked in Progress, and included in consent-controlled features.
Only an Owner/Admin can assign or remove a user account from an existing rider profile.
Steps
- 1Open Riders and choose Add Rider.
- 2Select No account.
- 3Enter the participant name, optional birth date, level, disciplines, training goals, and any appropriate parent or guardian link. Vaulting and Driving are available discipline choices.
- 4Add at least one discipline and training goals so the rider profile becomes active and can be scheduled. An incomplete profile remains inactive until setup is finished.
- 5Save the active profile and use it in lessons, series, attendance, horse assignments, reviews, videos, and progress just like any other rider.
- 6For minors, link an authorized parent or guardian when available and record consent before enabling consent-controlled media or recognition.
- 7When the rider has an active barn member account, an Owner/Admin can open the rider profile and use Assign account.
- 8Review the selected name and email carefully before confirming. BarnPage never assigns an account automatically by matching a name or email.
- 9The assignment keeps the existing rider profile and all history. Removing an assignment also keeps the rider profile and history.
Troubleshooting
The member cannot be selected for assignment.
Confirm the account has an active membership in the same barn. If it already has a meaningful rider profile, keep the profiles separate until the duplicate data has been reviewed.
A managed rider cannot respond to an invitation or submit a lesson request.
Those are account actions. Staff can schedule the managed rider directly, a linked parent can use supported parent workflows, or an Owner/Admin can assign the rider profile to an active user.
A managed rider does not appear when staff add riders to a lesson.
Open the rider profile and complete at least one discipline and the training goals. Incomplete or intentionally inactive rider profiles are not available for lesson enrollment.
A managed minor is missing from highlights or leaderboards.
Check the rider birth date, linked guardian, consent record, barn privacy settings, and any trainer review exclusion.
