Beta launch checklist for barn owners

Prepare a barn for beta testing with a small group while keeping data, privacy, and support expectations clear.

Beta access is intended for barns that are ready to try BarnPage with real workflows and provide feedback.

Data entered during beta is treated as real barn data. It will be kept unless a user, barn owner, or support request deletes it under the normal data policies.

Start with a small pilot group before inviting the whole barn so setup, consent, scheduling, and support expectations are clear.

Before You Start

  • The barn owner or manager should know who will participate in the first beta group.
  • Core barn records such as arenas, horses, trainers, and rider profiles should be ready or easy to create.
  • A support contact should be shared with testers before invitations go out.

Steps

  1. 1Create or confirm the barn profile and timezone.
  2. 2Review Settings for schedule defaults, waitlists, cancellation behavior, media approval, strict rider privacy, highlights, leaderboards, rider limits, and MEGAN analysis quota.
  3. 3Create a small first group of test members, usually one owner or manager, one trainer, one student rider, and one parent or guardian when minors are involved.
  4. 4Optional: create a draft public barn page if you want to test your public online presence during beta. Keep it unpublished until the copy, media, contact details, and polish checklist are ready.
  5. 5Record or review consent preferences before sharing media, videos, progress, highlights, or leaderboard information.
  6. 6Create a test lesson or lesson series and confirm invites, parent approvals, schedule visibility, and notifications behave as expected.
  7. 7If the barn will use video, upload one short lesson video, tag riders, complete trainer review, and publish feedback before inviting more users.
  8. 8Tell testers that beta data is kept as real data unless it is deleted through the normal app or support process.
  9. 9Collect feedback with the barn name, affected page, user role, device, and exact steps that caused the issue.
  10. 10Invite the next group only after the first group can complete the core workflows.

Optional public page

  • Use the Public Page builder if your barn wants a public website for programs, photos, visit details, and inquiries.
  • You can save drafts privately while you finish setup.
  • Publishing the public page does not expose private rider, schedule, video, member, or progress data.

What to tell beta testers

  • Use real accounts, not shared logins.
  • Report issues with enough detail to reproduce them.
  • Do not upload media or video unless the barn has the right permission and consent to use it.
  • Expect some features or wording to change during beta.
  • Assume beta data will remain available unless it is intentionally deleted.

First workflows to validate

  • Owner setup, settings, and member invites.
  • Trainer schedule review, attendance, manual review, video review, and feedback publishing.
  • Student rider schedule, published feedback, progress, media, and feed access.
  • Parent or guardian child linking, approvals, consent management, and child progress access.
  • Highlights, leaderboards, and recognition only after consent and minor privacy settings are reviewed.

Troubleshooting

A tester asks whether beta data will be reset.

Tell them data is kept as real barn data unless they delete it or request deletion through support.

A tester cannot see a page or button.

Check the active barn, assigned role, plan access, rider limits, and whether the feature is enabled in Settings.

A video uploads but does not finish processing.

Confirm the file type is supported and contact support with the lesson, video title, barn name, and approximate upload time.
