Request and approve a lesson
Let riders or linked parents suggest lesson times, then review, group, propose, or schedule those requests.
Lesson Requests are separate from requests to join an existing lesson. A new lesson request provides availability windows for scheduling staff to review.
Scheduling staff can approve a requested time, propose another time, add the rider to a compatible existing lesson, or schedule compatible requests together.
Alternative times require rider or linked parent acceptance before a lesson is created.
Horse recommendations prioritize the rider’s preferred horse, primary owned horse, other owned horses, and active leases before other compatible barn horses. Trainers always make the final assignment.
Before You Start
- The barn must enable rider lesson requests in Settings > Scheduling.
- The rider needs an active rider profile. Parents and guardians need an active link to the rider.
- Scheduling staff need schedule editing permission. Assistant Trainers require the barn scheduling setting.
Steps
- 1Open Lesson Requests.
- 2Choose the rider, lesson type, duration, training focus, and any preferred trainer or linked horse.
- 3Add up to five availability windows and choose whether a compatible group lesson is acceptable.
- 4Submit the request. Minor riders may require linked parent or guardian approval before staff see it.
- 5Scheduling staff review existing lesson, grouping, and horse recommendations.
- 6Approve a requested time, add the rider to an existing lesson, schedule compatible riders together, or propose another time.
- 7When a different time is proposed, the rider or linked parent accepts or declines it.
- 8Open the created lesson to confirm riders and horse assignments.
Troubleshooting
The request cannot be scheduled directly.
Confirm the selected time fits every included request, the trainer and arena are available, and no rider or horse conflict exists. Use Propose this time when the time is outside the original availability.
The rider’s horse is not recommended first.
Confirm the horse record has an ownership link or active lease for that rider. Unavailable, inactive, conflicting, or over-workload horses remain visible with a warning and are not automatically assigned.
